NetSuite - Initiating a Move Out
A move out should be initiated when the community learns a resident is leaving. Starting the move out process below will put the resident “on notice” to leave.
- Navigate to the Lease Agreement for the resident who is departing.
- Click More Actions, then Move Out.
- Enter the resident’s Move Out Date.
- Note: The date selected as the Move Out Date will determine the resident’s Last Billing Date, which is the last day the resident is charged rent.
- Select how notice of vacating was requested.
- Select Resident if notice was given.
- Choosing Resident will trigger a pre-move out inspection that must be completed.
- Select Community Manager if the resident vacated the home without notice, or if the vacating resident has/will decline a pre-move out inspection.
- Use the Memo field for any applicable notes relating to the move out.
- Select the Vacating Reason from the dropdown.
- Select Yes or No for Lease Break.
- If Yes is selected, the system will generate the Lease Break Agreement. (See Lease Break Agreements for additional information.)
- If No lease break is selected, use the Future Rent Charge dropdown to select Yes to future rent charges. The system will automatically calculate the future rent amount.
- Select if the Keys Were Returned.
- If keys were returned, enter the Number of Keys Returned and leave any comments as applicable.
- Enter the Keys Returned Date.
- Click Save.
The resident’s move out has now been initiated. This is now a Pending Move Out that can be accessed on the Move Out tile on the community’s NetSuite dashboard, or can be found on the NetSuite menu under Lease Operations > Move Out > List, which list all pending move outs. If needed, this Pending Move Out can be edited to change move out dates, etc., or can be cancelled by clicking the Cancel Termination button.
