Processing a Resident Owned Home Move Out Record in NetSuite
To process a resident move out:
- Navigate to the Move-Out list and select the resident who sold their home. Click the Move Out number to begin.
- The Move Out Screen will load. In the Forwarding Address section, click Add/Update Address. This is the address where your resident is going to live next.
- In the popup, use the dropdown to choose from an existing address or to add a new address.
- If you select the Existing Address option, use the Select Address dropdown to pull up previously added addressed.
- If you are creating a new address, begin by labeling the new address. Be sure to give it a name that describes what the address is, such as ‘”RVH home” or “Family residence in FL” so if you ever need to update the address in the future you know which location it is. Complete the rest of the address information, then click Submit.
- Once the forwarding address has been saved, you need to update the NUBs information, if applicable. Click Get Last Meter Reads and NetSuite will retrieve the last regular meter read from the NUBS database.
- Click Edit to update the site readings.
- In the Utility Readings section, click the Current Meter Reading field(s) to manually enter the meter reading for each utility.
- Click Save, then click Submit to NUBs. If the NUBS process passes, the NUBS Response will show as Pass and the Utility Invoices/Credit Memos field will show as Pending. Once Pending changes to Received, the ledger is updated and the utility charges will automatically be added to the customer’s invoice.
Keep in mind that there can be a delay of up to 24 hours for the invoices, especially at busy times (like the end of the month) when many NUBS transactions are being processed. If the NUBS process fails, you can try resubmitting. If NUBS still fails, please reach out to Concierge.
Note: If a site only uses NUBS for certain utilities or not at all, the utility readings section will reflect this with an "N/A" for the specific utility or all utilities. In the case of N/A, no current meter reading needs to be added.
