NetSuite - One-Time Charges
In addition to recurring charges such as rent, there may be times when a resident must be charged a one-time fee. Examples include forced mows, bulk trash charges, or any other one-time fees.
A running list of one-time charges that have been charged to the customer is visible on the customer’s Lease Agreement screen by clicking Charges on the left sidebar.
To add a one-time charge:
- Navigate to the Charges tab on the Lease Agreement sidebar.
- Click the Add Charges button near the top of the screen.
- Complete the Add Charge pop-up that appears.
- Select One Time as the Billing Type.
- Select whether the one-time charge is a Security Deposit (Yes/No).
- Select the type of charge from the Item dropdown.
- Enter the Billing Date.
Note: The billing date must be today’s date or after; charges cannot be backdated. - Enter the Amount.
- Add any Remarks that are relevant to the charge.
- Please note, recurring rent charges may NOT be added or ended by a property. The Main Office will set up new Lease Charges to account for rent increases.
One-time charges also appear on the Customer Ledger, where the invoice for the one-time charge can also be accessed. Note that it takes approximately 15 minutes from the time the charge is created for the invoice to appear.
