NetSuite - Completing a Move In
The Move In process primarily consists of the Commencement Inspection, during which the new resident has an opportunity to identify any issues with the site and/or home that may need addressing. For home rentals, this captures any existing issues with the home during move in to ensure that when the resident moves out, they will not be liable for any pre-existing damage. The commencement inspection also allows the property the opportunity to address any items that might need fixing upon move in.
- Click the Move-Ins tile on the NetSuite dashboard
- Note: A list of pending Move Ins can also be found from the top menu (Lease Operations > Move In > List).
- The new resident’s Lease Agreement screen also includes a Move In button at the top that will begin the move in process.
- Click the Record ID for the selected resident process.
- The Move In record will show the information of the resident.
- Click Edit.
- Click the Commencement Inspection tab and review the list of items to record whether any items are damaged or not present.
- Note: The items displayed in the Commencement Inspection will vary depending on whether the resident owns their home or is renting from Sun. Commencement inspections for rental homes include interior inspection as well as exterior/site inspection. There are multiple tabs on the inspection for interior and exterior items, as applicable – ensure that all are reviewed.
- Click the Inspection Date field to pull up the calendar and select the day the inspection was held.
- Where needed, edit the Condition of the item by clicking the pencil icon and making the appropriate selection. By default, all items are initially marked Good and need to be updated if the condition is otherwise.
- If needed, click the pencil icon to add a cost for repair or replacement.
- If needed, add Remarks for any particular item.
- Click Upload Images to add photos. Any item marked as damaged or needing repair should have a corresponding photo.
- Note any communication with the resident in the Communication tab. This includes emails and any documentation the resident may have sent in. Add notes or upload documents using the buttons.
- Click Update Status to complete the Move In process. Add notes as necessary in the Description window.
The status will change to Completed and the Move In will no longer display on the dashboard list of Pending Move Ins.
